Minutes of the regular monthly meeting of the West Liberty Business Association Board held on December 6, 2007, at 7:45AM at The Gathering Place.

Present were Bob Rabenstein, Cindy Oelker, Mark Nelson, Ann Morrow, Steve Mast & Kathy Lowry.

The minutes of the meeting held on 11-8-07, which had previously been sent to each member, were unanimously approved as sent.

Printed copies of the Treasurer’s Report were not available. However, the Treasurer reported the following:

                        Present Cash Balance of $8,559.58

Bean Dinner – Receipts of $347.00 – Should break about even after expenses

Race – Receipts of $1,935.00 with expenses paid to date of $1,140.00

Kathy Lowry distributed copies of the minutes for the Promotion Committee held on December 4, 2007. Those minutes are attached to and made a part of these minutes.

In reference to the new Logan County Visitors guide discussed in the Promotion Committee Minutes, Kathy Lowry requested that the Board pay the cost of the last page of $1,000.00. This is more like an advance as the Board will be reimbursed by the 23 advertisers who have agreed to pay $43.50 each. It was unanimously agreed that the Board pay the $1,000.00 in expectation that the Board will be reimbursed upon the receipt of the $43.50 from each advertiser.

The Christmas in the Village event was discussed.

  • The ham & bean supper – Bob Rabenstein & his wife are ready for someone else to assume this responsibility.
  • Crowd – It was agreed that the crowd was a bit smaller this year. Suggestion was made that perhaps the advertising started a little bit late this year and starting advertising a week or so earlier next year would help increase the crowd numbers.
  • Race – Mark Nelson reported a record number of runners (about 112) this year. Comment made that the race attracts several out of town and even out of state participants each year.
  • Food Donations - Mark Nelson reported that the food donations in exchange for the Luminaries was a real success this year as a record amount of food was donated.
  • Music - Kathy Lowry reported that she had received several very complimentary remarks about the singing by the Grace Chapel Choir.
  • Parade Announcer – Tim Reeves, the Methodist Church minister, was the announcer and did an excellent job. Several complimentary remarks had been received by the Board Members.
  • The Oak Grove Church distributed 25 gallons of hot chocolate

Overall it was the opinion of the Board that Christmas in the Village for 2007 was very successful.

It was unanimously agreed to cancel the next regular meeting in January 2008.

The next regular meeting of the West Liberty Business Association Board will be held on Thursday, February 7, 2008, at The Gathering Place at 7:45 AM.

Respectfully,

Stephen H. Mast, Secretary
